Set up a group class with seats and a waiting list

Give a service a Class size of 2 or more, then open Calendar and add class times under Classes. Customers book a seat each. When a class time is full, they can join a waiting list for that day.

Before you start

  • Your own sign-in for the portal.
  • With a team list, each class time needs one person from it to teach.

Steps

Make a service a class

  1. Open What it says, then Products & services. For some businesses it reads Services.
  2. Press Edit on the service, or + Add product/service for a new one.
  3. In Class size, type how many people one class time takes, from 2 to 200. If you see A class takes 2 to 200 people. Leave it at 1 for one person at a time., fix the number. A class can't have processing time: the form says A class can't have processing time. Set processing time to 0, or the class size to 1.
  4. Press that row's Save, then wait until you see Saved.

Add class times

  1. Open Calendar. Under Your bookings you now see Classes. It stays hidden until one service has a class size of 2 or more.
  2. Press Add a class time.
  3. Choose the Class, the Day and Starts at. With a team list, choose Who teaches it. With rooms, you can pick one under Room (optional).
  4. Seats can stay blank to use the class size.
  5. Under Repeat, choose Just this once or Every week for up to 12 weeks.
  6. Press Save class time. You see Class time added., or 3 class times added. Showing the next four weeks.

If one week can't be set, the rest are saved and you see 1 week was not added: and the reason. A time that has passed is refused with Pick a time that hasn't passed.

It worked when

The class time shows under Classes as 0 of 10 booked with your numbers, and on your booking page with its seats left. After a customer books, it reads 1 of 10 booked and their name is on the list.

What customers see

Each class time shows how many seats are left, for example 3 seats left. A full one is listed as Full under Full class times. Each person books their own seat and gets their own confirmation. Your assistant books one person at a time too.

The waiting list

When every class time that day is full, the booking page offers Join the waiting list for this day. When someone cancels, up to 5 people waiting are emailed a link that works once. The first to confirm gets the seat. Nobody is emailed if the freed seat is under an hour away, the class time was canceled, or your emails are paused. Your assistant puts a caller for a full class on the waiting list and doesn't promise a seat.

See who is booked, move or cancel

  1. Under Classes, press See who's booked on the class time.
  2. To move one person, press Move, choose another time of the same class, and press Move them. If there isn't one, you see There is no other time of this class with a seat free in the next four weeks.
  3. To cancel one person, press Cancel, then Yes, cancel it. It says They're emailed. or They aren't emailed, so tell them yourself.
  4. To cancel the whole class time, press Cancel this class time, then Yes, cancel the class. Tell anyone without an email yourself.

If you cancel a person or the whole class time, a deposit they paid is never refunded for you. You are emailed to decide on each one. If a customer cancels their own seat, the deposit is refunded for you only when your deposit rules say so. To change a class time, add the new time, move people to it, then cancel the old one.

What counts toward your plan

  • Each seat a customer books counts as one booking. A class with 10 seats booked by customers counts as 10. A seat or class time you cancel stops counting.
  • Bookings are never blocked. On the Online booking plan, past your plan's size, each extra booking costs 10¢.
