Subprocessors
A subprocessor is a company that handles your customers' information for us, for example the company that runs our phone calls. These are the companies that do this for Kwickly Answers while we provide our service to a business: they handle the business's own details, its staff's, and its callers' and customers'. Each works for us under its own terms. Kwickly Answers serves businesses in the United States only. Our Data Processing Agreement and our Privacy Policy say how this information is used.
Companies in use today
| Company | What they do for us | What they get | Where |
|---|---|---|---|
| Supabase | Our database, sign-in and file storage | Everything the service keeps: accounts, business information, calls (transcripts and summaries), messages, bookings, customers, staff details and uploaded pictures | United States (Oregon) |
| Render | Runs our servers (the phone webhook, the portal, the website and every business's page) | Everything that passes through the service | United States (Oregon) |
| CloudflareThrough Render, and directly for the sign-up check | The network in front of Render that carries requests to our sites. Also runs the check on our sign-up form that tells a person from an automated program (Cloudflare Turnstile) | Visitors' IP addresses and the pages and forms sent to and from our sites; for the sign-up check, the visitor's IP address and browser details when the sign-up page opens, and a short-lived check code | Global network (through Render; also directly, for the sign-up check) |
| Vapi | Runs the phone calls: answers, records and transcribes them, and connects the AI and voice companies below | The call audio, recording and transcript, the caller's number, and the business's own information the assistant uses | United States |
| OpenAIThrough Vapi | AI that writes what the assistant says on a call (Essential and Professional levels), and some voices | What is said on the call, and the business's own information | Chosen by Vapi |
| AnthropicThrough Vapi for calls; our own account for help replies | AI that writes what the assistant says on a call (Premium level); also helps us draft replies to help requests | What is said on the call and the business's own information; the text of help requests (email addresses and phone numbers taken out first) | Chosen by Vapi |
| DeepgramThrough Vapi | Turns a caller's speech into text (the usual hearing), and some voices | The call audio | Chosen by Vapi |
| GladiaThrough Vapi | Turns a caller's speech into text on calls in other languages | The call audio | United States (us-west) |
| Microsoft AzureThrough Vapi | Backup hearing and some voices, for some languages | The call audio; the words the assistant says | Chosen by Vapi |
| ElevenLabsThrough Vapi | Turns the assistant's words into a spoken voice | The words the assistant says | Chosen by Vapi |
| CartesiaThrough Vapi | A spoken voice, only when a business's assistant uses one of its voices | The words the assistant says | Chosen by Vapi |
| Rime and PlayHTThrough Vapi, but under their own terms, not Vapi's | A spoken voice, only if a business's assistant is set up with one of their voices; we tell the owner first | The words the assistant says | Chosen by each company |
| Google (Gemini) | AI for the web chat, messaging-app replies, call quality reviews, suggested answers from past calls and drafted replies to customer reviews, and it helps a business write the first draft of an email to its customers | Chat and messaging-app messages, and call transcripts; the review a business pastes in to get a drafted reply, with the business's name and, if the business types them, a star count and the reviewer's first name; the business's name and type of business, to draft an email (never a customer's details) | Chosen by Google |
| Google Cloud (Compute Engine and Cloud Storage) | Makes and keeps our encrypted nightly copy of the database and our encrypted weekly copies of uploaded pictures | A copy of the database's records and sign-in accounts, encrypted before it is stored, and once a week a copy of the pictures businesses have uploaded, encrypted the same way (the copies are made on our own Google Cloud server) | Oregon, United States (us-west1) |
| Twilio | Phone numbers and text messages | Phone numbers, calls as they are connected, the texts we send, and a business's details for its texting registration | United States |
| Stripe | Payments for our plans, and payments a business takes from its customers on its own Stripe account | Billing and payment details. Card numbers go to Stripe, not to us | United States |
| Resend | Sends our emails | Email addresses, names and what the email says | United States (North Virginia) |
| Make.com | Workflow automation behind some bookings and address checks | The details of a booking or message, such as a name, phone number and address | United States (us2) |
| US Census Bureau | Checks an address and finds where it is | The address | United States |
| Zoho Mail | Our own mailbox (harley@kwicklyanswers.com) and outreach sending | Emails people send us, including help and privacy requests | United States |
"Through Vapi" means the company works for Vapi on our calls; our code doesn't send it anything directly. "Chosen by Vapi" (or by another company) means that company picks where it runs, so we can't name a place. Anthropic also helps us draft replies to help requests, through our own account with it. Rime and PlayHT are connected through Vapi too, but they work under their own terms, not Vapi's, and are used only if a business's assistant is set up with one of their voices.
Tools you connect yourself
Only Google Calendar is available today; the rest are built but off. These tools get information only after a business connects its own account, and then only what that business tells us to send.
| Tool | What it gets | Today |
|---|---|---|
| Google Calendar | Busy times only; nothing is written | Available now |
| Square | The caller's name, phone number and, only if they pay by link, an email address; orders and bookings for a business that connects it | Not switched on yet |
| QuickBooks (Intuit) | Staff hours, dates and QuickBooks employee IDs; invoices for a business that turns it on | Not switched on yet |
| Meta (WhatsApp, Instagram, Messenger) | The messages and replies | Not switched on yet |
| X | The messages and replies | Not switched on yet |
| Online storesShopify, Wix, Squarespace, Ecwid, Big Cartel, Adobe Commerce (Magento), commercetools, eBay, Etsy, WooCommerce, BigCommerce, Clover, Toast | Orders, products and stock for a business that sells through the store | Not switched on yet |
| Booking and salon toolsBookeo, Phorest, Setmore, Vagaro, Boulevard | Bookings, services and customers' names and contact details | Not switched on yet |
| Field-service toolsWorkiz, simPRO, Kickserv | Jobs, bookings and customers' names, contact details and addresses | Not switched on yet |
| Customer, job and inventory softwareHubSpot, Acuity Scheduling, Housecall Pro, JobNimbus, ServiceM8, Service Fusion, Loyverse, Zoho Inventory, Jobber, ServiceTitan | Bookings, jobs, customers' names and contact details, or stock levels, depending on the tool | Not switched on yet |
| Tools that stay the master copy of your bookingsOutlook (Microsoft), Calendly, Square Appointments, Jobber, Housecall Pro, Clio Grow, Clio Manage, GoHighLevel, Shopmonkey, MoeGo, Zenoti, QuickBooks | Bookings and customers' names and contact details, both ways; busy times from the tool | Not switched on yet |
| Staff scheduling apps7shifts, Deputy, Homebase, When I Work, Connecteam | Staff names and shifts | Not switched on yet |
Each tool marked "Not switched on yet" stays off until a business connects it, and some also need the business's own app keys; it varies by company. Jobber, Housecall Pro and QuickBooks appear twice because each can be connected in two ways.
Our own tools
We also use tools that hold no personal information of our clients or their customers: GitHub (keeps our code and runs our automatic checks), UptimeRobot (checks that our public addresses answer) and Porkbun (registers our domain name and runs its DNS).
When this list changes
We email the owner of every business at least 30 days before a new company that we choose starts handling its information, and update this page. A few companies work inside Vapi's service, and Vapi, not us, decides when to add one. When we learn that Vapi has added one, we email the owner of every business as soon as we can and update this page. If you object to a change, you can cancel (section 6 of the Terms says how).
