New-matter intake, in your questions

It starts from a short set (when it happened, what happened, whether anyone was hurt, whether they've seen a doctor, which insurer is involved, whether they've signed with another firm) and you rewrite it for your practice.

Answers saved as they're given

Each answer is recorded the moment it's said. If a caller hangs up after two questions, you still have what they told you and a number.

It takes a message for the right attorney or staff member, by name.

Matters you don't take

If you've set up referral partners, it reads the referral sentence you wrote, word for word. No fee is ever mentioned.

Your conflict check, before anything else

Switch the conflict check on and it comes first. The assistant asks the caller's full name and the name of anyone on the other side, and checks them against your list before it takes any details, books anything or transfers the call.

If the check doesn't come back clear, it says one neutral sentence, takes a name and number, and ends the call politely. It never says a check was run, never repeats the name that stopped it, and never tells the caller your firm can't help them.

Urgent matters and filing deadlines

You decide what counts as urgent. When a call matches, it gets the best number to call back straight away, after the name check if you use one.

Set how long clients have to bring a claim and how close to that deadline a lead counts as urgent. A lead whose own words put the incident inside that window is marked Priority, with the reason, like "8 days before the 2-year deadline". A claim involving a city, county or state vehicle or property is watched against the 6-month limit too. It only marks the lead for your firm, and it never tells a caller how long they have.

It takes down facts. It doesn't give advice.

The assistant writes down what the caller tells it. It doesn't advise them, assess their case, judge whether it sounds strong, or promise an outcome, a value or a timescale. Asked something only a lawyer should answer, it says a person will go through it with them properly.

These rules are built in, not a setting. Your firm can write its own changes to the assistant's instructions, and none of those changes can remove the recording notice, the no-advice rule or, while it's switched on, the conflict check.

Spanish-speaking callers

With the Extra languages add-on, it answers Spanish-speaking callers in Spanish, formally, gives the recording notice in Spanish, and asks your intake questions in your own Spanish wording once you've written it. Until you have, it asks them in plain Spanish that means exactly your English question.

Consultations and your calendar

If you offer consultations, it books them onto your calendar once the conflict check is clear, with the right attorney if the caller asks for one. It mentions a consultation fee only if you've set one. You get an email as soon as the call ends, with a partly answered intake sent too, marked as partial.

No. It takes down what the caller says, and says a person will go through anything else with them. It never assesses a case or promises an outcome.

How fast do I hear about a new lead?

An email goes out as soon as the call ends, marked Priority for an urgent matter or one close to your filing deadline. Partly answered intakes are sent too, and say so.

Can I write my own intake questions?

Yes. You rename, reorder, switch off or replace every question, and choose which ones it must ask.
