AI receptionist for dog and pet groomers

A doodle owner wants a first full groom before a family wedding on Saturday, and needs to know how long it takes. You have a wet dog on the table and clippers in your hand. The AI receptionist for dog and pet groomers picks up, asks the pet’s breed and size, books the right amount of time with the right groomer, and sends a confirmation and a reminder the day before to owners who give an email.

Call it now, say you run a grooming salon, then pretend to be an owner booking a first full groom for a doodle and hear how it answers.

You can't stop mid-clip

A groomer's hands are never free. A dog is on the table, the dryer is running, and stopping to answer means a half-finished cut and an anxious pet. So the calls go to voicemail, and an owner who wants a slot before the weekend may not wait for a call back. The point isn't to get more calls. It's to answer the ones you already get.

What it asks on a grooming call

The questions are yours. Typical ones for a grooming salon:

  • The pet's name, breed, and size or weight.
  • What they're after: a full groom, a bath, nails, or "the usual".
  • Whether they've been in before.
  • Anything your groomers should know, like a matted coat or a dog that's nervous around dryers.
  • Whether vaccinations are up to date, if you require it.

Each answer is written down as it's given. The assistant records what the owner says and doesn't judge a coat or a temperament, so your groomer gets the owner's own words before the dog arrives.

Booking the time a groom really takes

A full groom on a large, thick-coated dog can hold a groomer for hours, and a bath and tidy on a small one takes far less. Give each service its own length, and each groomer their own hours, services, prices and lengths, and the assistant books the time the service really takes. An owner who names a groomer they like is booked with that person or not at all.

Prices from your menu

It says the prices on your menu exactly as you list them, and never works one out on the spot. If your price depends on the dog's size, put each size on the list and it says the one that matches what the owner told it. A de-matting fee is quoted only if you've put it on the list. Otherwise it takes a message and your groomer follows up.

Confirmations, reminders and cancellations

A calendar and a booking page come with every plan, and owners can book themselves there at any hour. Those who give an email get a confirmation and a reminder the day before. Reminders by text are coming soon, waiting on carrier approval.

If you let it, existing owners can call to check, move or cancel. It says your cancellation policy once, plainly, and never charges or waives anything. When someone cancels, the people on your waiting list who fit the freed time are emailed a link to take it, and the first to confirm gets it.

Hear it yourself

Call (949) 704-8377, say you run a dog grooming salon, and book a bath and trim for a shaggy terrier who’s never been groomed. Listen for whether it asks the breed and size before it offers a time.

Sample call on the demo line

An example written out to show how a call like this goes. Not a real caller.

Assistant: This call is recorded for quality assurance, and you’re speaking with an AI assistant. Thanks for calling [your business]. How can I help?

Caller: I’d like to book a full groom for my dog before Saturday.

Assistant: Of course. What breed is your dog, and roughly how big?

Caller: A goldendoodle, about 60 pounds. It’s her first groom.

Assistant: A full groom for a large doodle takes about three hours. Jess has Thursday at 9:00 AM. Would that work?

Caller: Thursday’s great.

Assistant: Booked with Jess on Thursday at 9:00 AM. If you give me an email, you’ll get a confirmation and a reminder the day before.

What it costs

Phone plans start at $129.99 a month for 350 minutes, about 175 two-minute calls, and the calendar, booking page and reminders are in every plan. Minutes are counted by the second, and your plan never upgrades itself. Every plan, add-on and price is on the Kwickly Answers pricing page.

Dog groomer questions

Can it book by breed and size?

It asks the breed and size as questions you've set, then books the length you've given that service. It doesn't guess a time from the breed.

What if an owner asks whether their dog is ready?

It can't see your table, so it takes a message for you or the groomer, by name, rather than promising a time.

Can it take a deposit or a card number?

No. It has no way to charge a card on a call.

Can I have more than one groomer?

Yes. Each groomer can have their own hours, services, prices and lengths, and an owner who asks for one is booked with them.

Can I keep my business number?

Yes. You forward your calls to your Kwickly Answers number, and your portal shows the steps for your phone company.
