See my bookings in Apple Calendar

Turn on the Apple Calendar link under Account, then Other calendars, and press Add to Apple Calendar on your iPhone, iPad or Mac. Your bookings show there, view-only. Anyone who has the link can read your bookings, so keep it private. Apple decides how often it checks for changes, so a new booking is not instant.

Before you start

  • Your sign-in for the portal, as the owner.
  • An iPhone, iPad or Mac with Apple Calendar on it.
  • A decision: one link for the whole business, or one for a single person. A whole-business link also shows who each booking is with.

The link is a read-only list of your own bookings. It is not the way to block times you are busy: for that, see connecting your other calendar. If your plan stops being paid, the link stops answering.

Steps

Step 1: turn the link on

  1. Sign in to the portal and press Account at the top. Under Calendar settings, pick Other calendars, then find Apple Calendar.
  2. If your business has more than one calendar, pick one under Which calendar: Whole business or a person's name.
  3. Press Turn on. The first time, it asks Show customers' first names on this link? Choose Yes, show first names or No, show the service only, then press Turn on.
  4. You should see the calendar marked On, with an Add to Apple Calendar button and a link you can copy.

Step 2: add it to Apple Calendar

  1. On the iPhone, iPad or Mac where you use Apple Calendar, press Add to Apple Calendar. Apple Calendar opens and asks you to subscribe to the calendar. Follow its screens.
  2. Or press Copy link and add it to Apple Calendar yourself as a calendar subscription, or, if you see Show QR code, press it and scan the code with your iPhone camera.

Those are Apple's own screens, and Apple changes their wording now and then. If a button on your device is named a little differently, pick the closest one, and check Apple's own help for subscribing to a calendar.

What the link shows, and who can see it

  • Anyone who has this link can see your bookings: the service, the customer's first name, the time and your location. Do not post it or send it to anyone who should not see them. Apple Calendar fetches the link through Apple's servers and may keep its own copy, which can't be taken back. If the link gets out, turn it off or make a new one, and the old address stops working right away.
  • Each booking shows the service and the customer's first name (unless you hide names), the time, and your business location. It never shows a phone number, email, notes, price or a customer's own address.
  • Under the link, Hide customer names (show the service only) turns names off. Apple Calendar may keep names it already loaded. To clear them, remove the calendar in Apple Calendar and add the link again.
  • Make a new link stops the old one at once, and you add the new one in Apple Calendar. Turn off stops the link. Apple Calendar may keep showing the bookings it already loaded until you remove the calendar there, and anyone who already copied them still has them.
  • Last read is the last time a calendar app fetched the link. It cannot tell you who.

This calendar is view-only. Changes made in Apple Calendar don't come back to your portal. Apple Calendar decides how often it checks for changes, so a new booking can take a while to show and it is not instant. A canceled booking stays on the link for up to 14 days, marked as canceled, so your calendar can remove it. Apple decides when it refreshes. Don't add this link back to Kwickly Answers as a busy calendar: it is a list of your own bookings, and adding it would block your own open times.

It worked when

Your bookings show in Apple Calendar with the service and, unless you hid names, the customer's first name, and the portal shows the calendar as On. A new booking can take a while to appear, so check again later before you redo a step.

Still stuck?

Tell me your business name, whether you chose the whole business or one person, and what Apple Calendar shows after the step that went wrong. A photo of the screen helps. I'll check what I can.
