My assistant offers times when I'm already busy

Your assistant only avoids times it can see. Connect the calendar you already use under Calendar, Booking settings, Linked calendars: press Connect Google Calendar, or paste your calendar's private iCal link and press Add feed. It then checks that calendar before offering anyone a time.

Before you start

  • Your sign-in for the portal.
  • Your Google sign-in, or your other calendar's private iCal link (it ends in .ics).

Steps

  1. Open Calendar, then Booking settings, and scroll to Linked calendars. Your other calendars is at the bottom of it.
  2. For Google Calendar, press Connect Google Calendar and sign in to Google. If you don't see that button, use your calendar's private link in the next steps instead.
  3. For any other calendar, such as Apple or Outlook, copy its private iCal link. In Google Calendar the same link is under Settings, then your calendar, then Integrate calendar: "Secret address in iCal format". A work account's administrator may have turned this off.
  4. Paste the link into iCal feed (.ics) and press Add feed. You should see "Added" and how many events it found in the next 30 days.
  5. Press Test next to a calendar whenever you want to check it. You should see how many busy times it read in the next 2 weeks.

If you also work somewhere else

  • Workplace link: for a place you work part of the time. Press Make a workplace link and pick how they book you: "The business picks from my free times" or "I enter my shifts there; they book any open time inside them". Fill in Where you work, press Make link, then Copy link and send it to them. The times they book are blocked on your booking page. Nobody gets an email; tick Email me when the place you work books or cancels if you want one.
  • Busy-times feed: press Make a busy-times feed for a private calendar link that shows only when you're busy, never who with. Add it to any other calendar you use, so that one never books over you either.
  • Your other business: if you run two businesses on Kwickly Answers, press Link my other business and sign in with the other one's login email and password. Each then treats the other's bookings as busy.

If something goes wrong

  • "We couldn't read that link. Use the private link ending in .ics.": you copied the page you view the calendar on, or a link that isn't a calendar. Copy the "secret address in iCal format" from your calendar's settings instead.
  • Not working: while a calendar is failing, your assistant offers nobody a time, so nobody is booked over you. Fix the link, or press Disconnect to stop checking it.
  • "Needs reconnecting": your Google connection has expired. Press Disconnect, then Connect Google Calendar again.
  • A repeating event isn't blocked: repeating events in a pasted link aren't counted. Add them to your hours, or as a block, instead.
  • A new event isn't blocked yet: a pasted link is marked Best effort because the calendar that publishes it can be hours out of date. Google Calendar is read live.
  • An email that says "your booking page is showing no times": one of your linked calendars couldn't be read for at least 10 minutes. Your page offers no times until it can be read again, so nobody is double-booked, and visits already booked are safe. Open Linked calendars and press Test, or press Disconnect to remove it. You get a second email when times are back.

It worked when

Your calendar shows under Your other calendars without a Not working badge, and a time you're busy in that calendar isn't offered on your booking page.
