I need to book a customer in myself

Press Book someone in, check the day, choose what it is for and a free time, add the customer's name and phone, then press Book it. The button is on the Appointments card on My KwickBoard, on a day in Calendar, beside a call under Recent calls, and on a customer's record.

Before you start

  • Your sign-in for the portal.
  • Your booking calendar switched on. If it is off, Book someone in takes you to Calendar, where it says Your booking calendar is off. Start with turning on bookings.
  • The customer's name. A phone number and an email address are optional.

Steps

Step 1: open the form

Start from whichever screen you are on. Each of these opens the same form, with the title Book someone in.

  • My KwickBoard: on the Appointments card, press Book someone in. The form opens with today's date.
  • Calendar, Month: press a day, then press Add a booking on this day. On an empty day you can press Book someone in instead.
  • Calendar, Day or Week: click an empty time. The form opens on that day and tries to choose that time for you.
  • Recent calls on My KwickBoard: press Book them in on the call. The caller's number goes into the form, and their name when the call has one.
  • A customer's record that has no bookings yet: under Their bookings, press Book them in. Their name and phone go into the form.

Step 2: fill it in and book

  1. Look at Which day? and change it if the booking is for another day. When a day is filled in, the form asks for that day's free times for you. You should see times under Pick a time.
  2. Under What for?, choose the service. It sets how long to reserve. Not specified uses your business's usual length.
  3. If you have staff or teams, a With box appears. Leave it on Anyone free, or pick a person or team to see only their free times.
  4. If you changed the day, the service or With, press Show free times again. If the day has nothing free, you see Nothing is free that day. or the next free times with their days.
  5. Press the time you want under Pick a time. It is marked as chosen, and Book it turns on.
  6. Type Their name. A name is needed. Add Phone and Notes if you want them on the booking.
  7. Optional: type Their email (optional). With an address, they get the same emails a web booking gets: a confirmation now and, for a booking more than a day ahead, a reminder about a day before. They can opt out of reminders.
  8. If the service goes to the customer's place, extra boxes ask for the address and How to get in (optional). Fill them in.
  9. Press Book it. You should see Booked. beside the button you started from, and the form closes.

If it says no, or you want to stop

  • A red line says why. It may offer the next free times as buttons: press one, then press Book it.
  • If the line ends That goes against your own rule, a button such as Book Tuesday anyway sets that one rule of yours aside for this booking only. Your hours, clashes and linked calendars still decide.
  • No connection just now. Check your internet and try again. means nothing was booked. Press Book it again when you are back online.
  • To close without booking, press Not now, the × button or Escape. If you typed anything, you are asked Keep editing or Discard.

It worked when

Booked. shows beside the button you started from, the form closes, and the booking is on that day in Calendar. If it was for today, it is on the Appointments card too.

Still stuck?

Tell me your business name, which screen you pressed Book someone in on, and the exact words the form showed. A photo of the screen helps. I'll check what I can.
