What the numbers in Bookings this month mean
Bookings this month, on My KwickBoard, adds up your own bookings, till tickets and deposits when you open it. Pick a period to see where bookings came from, how full the calendar was, what was missed or canceled, and what customers recorded here. These aren't accounting, tax or financial statements.
Before you start
- Your sign-in for the portal.
- At least one booking. Until then the screen says Nothing to show yet. Numbers appear after your first bookings.
These numbers come from what Kwickly Answers recorded. They aren't accounting, tax or financial statements, and they aren't meant for a loan, a tax filing or anyone outside your business.
Steps
Step 1: pick the dates
- Sign in to the portal, open My KwickBoard and scroll to Bookings this month.
- Under Period, press Today, This week, This month, Last 30 days or Pick dates.
- For Pick dates, fill in From and To (up to 366 days), then press Show these dates.
Step 2: read each part
- Bookings is how many bookings fall in the period. Still ahead shows when some are booked but haven't happened yet.
- Where bookings came from counts them by how they were made. A booking through one of your links is counted under that link's name. Not recorded means Kwickly Answers has no note of how it was made.
- Bookings per week shows the last 12 weeks of the period. The first and last weeks may be part weeks. View as a table shows the same numbers as a table.
- How full the calendar was is booked time out of each person's open hours, shown as Full, Booked and Open. Approved time off and the shop's break don't count as open. If the period isn't over, the figures rise as more is booked.
- Missed and canceled: missed means someone marked it, so unmarked ones aren't counted, and neither are bookings still ahead. Below three bookings it says Too few to say yet. instead of a percent, because one miss out of one booking says nothing about anyone.
- Customers shows about how much a customer recorded here, from the bookings that have a value and a known customer, and your Top customers when there are enough. Per customer (recorded here) is an average of those, not a forecast. Refunds are taken off. Tax and tips aren't counted. Money from other places, such as your Stripe account, is never added in. Some kinds of business, such as professional services, don't see customer money, to keep client details private.
- Win-back results shows, for each win-back email, how many were sent and how many Booked from the email. That counts only people who booked through the button in the email. Some may have booked anyway, so it isn't a return on the emails.
A refund that included tax can make a customer's figure slightly low. A deposit is counted by the day it was started, not the day it was paid.
Step 3: print or save your calendar for some days
- Open Calendar and press Print or save under it. A form opens: Print or save the calendar.
- Pick From and To (up to 92 days) and, if you like, a Person (the default is Everyone).
- Names are on by default under Show customer names. Phone numbers are off: tick Include phone numbers only if you want them in the file.
- Press Print or save as PDF to open a page that prints (choose "Save as PDF" as the printer to keep a copy), or Download CSV for a spreadsheet file.
The file goes to you, not to Kwickly Answers. Only the business can download it, and Kwickly Answers keeps a record that it was downloaded, who did it and when, never the file itself. It holds customer names, so keep it somewhere private.
It worked when
You see the period you picked and its figures, and a part with too little to show says Too few to say yet. That is normal early on. A calendar file downloads or opens to print with the dates you chose.
Still stuck?
Tell me your business name, the dates you picked, and which figure looks wrong, with what you expected instead. A photo of the screen helps. I'll check what I can.
