Bring my customers, services, staff and bookings in from another app

Under Account, Your data, Bring your data in, you can move your services, staff, customers and future bookings from your old app with a spreadsheet (CSV) file. You check every row before anything is saved. Nobody is emailed or texted when you bring it in, and you can undo an import for 30 days.

Before you start

  • Your sign-in for the portal, as the owner.
  • A CSV file from your old app. Excel file? Save as CSV first: open it in Excel or Google Sheets and save or download it as CSV.
  • Bring things in this order: services, staff, customers, then bookings. Bookings are matched to the people and services already here.
  • A file can be up to 5 MB, with up to 2,000 services, 500 staff, 10,000 bookings or 25,000 rows of customers. Split a bigger one.
  • A customer’s yes to messages or offers is never brought in. They have to give it to you themselves.

Steps

Step 1: get the file out of your old app

Each app names its menus a little differently, and they change. If yours look different, pick the closest one. If the columns don't line up on their own, you match them in step 3.

  • Square Appointments: Customers, then Import/Export, then Export, and choose CSV (Square's community answer).
  • Acuity Scheduling: Reports, then Import/Export, and export your appointments or clients as CSV (Acuity's help).
  • Calendly: Meetings, then Export, and download the CSV (Calendly's help).
  • SimplyBook.me: Reports, pick the columns you want and export as CSV (SimplyBook.me's help).
  • Jobber: Clients, then Export. The file is emailed to you, with at most 1,500 rows in each file (Jobber's help).
  • Housecall Pro: Customers, then Actions, then Export, then Send file. The CSV file is emailed to you. Only an admin can export (Housecall Pro's help).
  • Vagaro: Reports, then Customers, then Export. It comes as an Excel file, so save it as CSV.
  • Fresha: Clients, then Options, then Export as CSV.
  • Setmore: export your customers and the file is emailed to you.
  • Booksy: export your customers as CSV. No Booksy export for bookings, services or staff has been found so far.
  • GlossGenius: export your clients as CSV.
  • Mindbody: Reports, then Clients, then Mailing List, and export to Excel. Save it as CSV.
  • Anything else: any spreadsheet works. Pick Another spreadsheet in step 2 and Download the template to see the columns it uses.
  • The steps for Vagaro, Fresha, Setmore, Booksy, GlossGenius and Mindbody come from other people's guides, not the app's own help.

Step 2: choose what you are bringing in

  1. Open Account, then Your data, then Bring your data in. You can also start from Bring in a list on your customers, Bring in a price list under Products and services, or Add from a file under Calendar, Who is working.
  2. Under What are you bringing in?, pick Services, Staff, Customers or Future bookings.
  3. Under From, pick your old app, or Another spreadsheet.
  4. Under Your file, choose the CSV file.

Step 3: match your columns

  1. Under Match your columns, each box shows the column in your file that seems to hold it, with an example from your file. Change any that are wrong. Leave a box on Not brought in to skip it.
  2. Customers: under Customers already on your list, choose Fill in their blank details only or Leave them as they are. Nothing you already have is ever written over.
  3. Bookings: pick the Time zone of the times in your file and how Dates are written. Leave Send the usual reminder before each one off unless you want your customers reminded as usual.
  4. Press Check the rows. Nothing is saved yet.

Step 4: check

  1. Under Check you see how many rows are New, Already here, Will fill blanks, Needs you and Problems.
  2. Press Problems to see each row by its row number in your spreadsheet, and what is wrong with it. A row that needs you has What to do: leave it out, or pick which customer it is.
  3. Bookings: under Match names, say who each staff name in your file is, and which service each service name is.
  4. Press Download problem rows to get those rows as a spreadsheet you can fix and bring in again later. Rows already brought in are not added twice.

Step 5: bring them in

  1. Press Bring them in. A big file carries on if you leave the page.
  2. Changed your mind? Press Undo this import, then Undo it, any time in the next 30 days. Your past files are under Your imports. Undo takes out only what nobody has used since: a customer who has booked since, or a booking that was moved, stays.
  3. The rows of your file are kept for 30 days so Undo and Download problem rows work, then wiped. A file you never bring in is wiped after 7 days.

It worked when

The screen says Brought in: with how many rows are new, your services and staff are in their lists, and a customer you brought in says Brought in from your old system where it shows where they came from.

Still stuck?

Tell me your business name, which app your file came from and which step didn't do what you expected. Please don't email the file itself: it holds your customers' details. I'll check what I can.
